| Overview: The Ministry of Information, Communications, and Technology and Posts is seeking a highly organized senior administrative officer capable of functioning independently, to manage the financial and administrative affairs of the department of technology. The administrative officer will be responsible for assisting in the implementation of new administrative structures and supervising the accounting staff. Ultimately, you will be responsible for the day-to-day management of all financial transactions and all accounting activities including bank reconciliations, accounts payable and receivable, preparing and proofreading various contractual documents. The candidate must be driven, can exercise sound judgement and maintain a high level of confidentiality and integrity. |
| Duties and Responsibilities Provide administrative and financial support. Keep accurate records for all daily financial transactions and ensure compliance with all financial regulations and ISO27001 standards. Be responsible for the daily operations of the unit, including the management of staff and the monitoring of all programs and projects as it relates to the expending of funds or receipt of funds. Preparation of expense reports and other office budgets. Reconcile bank statements. Assist with preparation of the Ministry’s yearly budget expenditure. Coordinate the submission of and scrutinize all monthly financial forecasts and ensure that they are submitted on time. Attend meetings as directed. Manage the online inventory system and supervise stocktaking to ensure that office supplies are maintained at adequate levels and disseminated efficiently. Manage relationships with vendors and ensure compliance with the procurement process. Contribute to the work of the Management team and participate in its meetings, when necessary. Supervise all accounting transactions within the Administration Unit and Telecommunications Services Unit and provide monthly reports. Be able to organize flights, transportation, and accommodation for executives. |
Education and/or Experience: The Senior Administrative Officer must have: A relevant bachelor’s degree in Business Management, Accounting or Finance or any other related field. At least 3 years of work experience in a senior financial or management position Strong accounting skills. Project management skills would be an asset. |
| Required Attributes The senior administrative officer must: Be able to work under pressure and meet deadlines, while maintaining a positive attitude and providing exemplary service to the public. Be able to work independently and can multitask. Have excellent verbal and written communication skills. Be able to use initiative. Have strong computer proficiency skills. A working knowledge of Microsoft applications would be an asset (word, excel, powerpoint…) Have considerable bookkeeping experience, in accounting payable/ receivable. |
| Salary: (K33-38) / (K39- K41) ($59,340-$72,936 / $76,032- $83,292) per annum Leave: Twenty-seven (27) working days per annum The deadline for the receipt of application is January 5th, 2023 |
