Administrative Assistant

The St. Kitts & Nevis Amateur Athletic Association (SKNAAA) is seeking an Administrative Assistant to perform a variety of administrative and clerical tasks. Duties of the Administrative Assistant will include providing support to the General Secretary and Office Manager, assisting in daily office needs and performing the association’s general administrative activities.

The successful applicant will work directly with our Office Manager to ensure all administrative tasks are efficiently and effectively implemented and must have strong interpersonal skills, a good customer service oriented personality, excellent oral and written communication skills, the ability to manage multiple tasks at once, and a wide breadth of experience managing clerical responsibilities.

 

Responsibilities

 Answer all incoming telephone calls and keep a log of all messages

 Organize and schedule appointments for the Executive members and Commissions

 Assist in the planning of meetings for the Executive, Commissions and other committees, and recording of minutes where necessary

 Access and record all incoming emails and create relevant files

 Develop and maintain a proper filing system  Prepare Purchase Orders for the review and approval of the Treasurer

 Maintain contact lists of all stakeholders including but not limited to member clubs, Commissions, Executive, regional and international federations, Ministry of Education, Ministry of Sports, Department of Sports, Department of Education, SKNOC

 Provide a warm and inviting environment for executive members, athletes, coaches, Commission members and visitors Requirements

 Knowledge of office management systems and procedures

 Proficiency in MS Office (MS Word, MS Excel and MS PowerPoint)  Excellent time management skills and the ability to prioritize work

 Strong organizational skills with the ability to multi-task

 A minimum of 5CXC or an Associate CAPE Degree; additional experience or qualification as an Administrative assistant or Secretary will be an advantage

 Available to work on activities related to the SKNAAA’s athletic programmes on weekends, holidays and beyond normal working office hours

 

Remuneration

Monthly salary will be based on qualifications, experiences and required proficiencies of the candidate.
